Hire terms

No surprises. Booking a Retro Capture kit means you’re happy with the below. Any questions, just email [email protected].

1. Booking & payment

You can pay the whole price when you book. If your event is more than four weeks away, you can instead pay 30% when you book and the rest later.

If you pay 30%, you agree that we take the rest from the same card automatically 21 days before your event. We’ll email you three days before. If that payment doesn’t go through, we’ll email you a link to pay and try the card again. We send your kit once the booking is paid in full.

Optional extras (edited highlights) are added at checkout if you want them, or later from your gallery, and there is nothing else to pay. Payment is by card through a secure Stripe checkout; we never see or store your card details. If you pay 30%, Stripe keeps your card for that one later payment.

2. Delivery & collection

We post your kit UK-wide to one delivery address you give us, to arrive about 2 days before your event, charged and ready. Getting it back is ours to arrange, and you choose where from: leave everything in the cases it came in and a courier collects it the day after your event, from any address you tell us — it does not have to be the one we delivered to. We confirm the exact collection day with you when you book — couriers don’t run every day of the week, so a Sunday event may mean a Monday or Tuesday pickup. Closing the cases is the whole of your side of it — nothing to parcel up, nothing to post, and no deadline for you to hit. If a collection has to be rearranged — you’re away, the venue is shut — just tell us and we’ll move it.

3. Looking after the kit

Knocks, drops and spills are on us. Cameras get handled at weddings, and that is what they are for — we do not charge for accidental damage or normal wear. We only ask you to cover kit that isn’t returned, or that has been deliberately or recklessly destroyed, at capped replacement cost: up to £150 per camcorder and £60 per camera. We will always talk to you before charging anything.

4. Cancellations & changes

Plans change. Booking takes your date and your kit out of our diary, so cancelling costs something:

  • More than four weeks before your event — we keep 30% of the booking price and refund anything you’ve paid above that. If you paid 30% when you booked, there’s nothing more to pay.
  • Four weeks or less before your event — the full price is due, including any part not yet paid.
  • Either way, if we hire the kit out again for your date, we refund everything you paid above the 30%.

The date you pay for is the date we hold, and we buy in and reserve kit against it — so moving it is not a free change and not something we can promise. Ask and we will always try: if the kit is free on your new date, we will move you across. If it isn’t, we can’t move the booking for nothing, and the scale above is what applies. If we ever cancel on you, you get a full refund whatever the notice.

These terms apply to bookings made on or after 13 October 2026. Booked before then? Your booking keeps the terms it was made under: more than 14 days before your event, a full refund; 7 to 14 days before, we retain 25%; less than 7 days before, or once your kit has been dispatched, we retain 50%.

5. Your right to cancel

This is a distance contract for a service on a specific date. Under the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013, contracts for services related to leisure activities that name a specific date or period of performance do not carry the usual 14-day cooling-off right, and we are treating this hire that way — so clause 4 above is what governs, and it is more generous than the law would require. Nothing here affects your rights under the Consumer Rights Act 2015 if the service isn’t carried out with reasonable care and skill.

6. If something goes wrong

We deliver UK-wide, and we check and charge every kit by hand before it goes out. If your kit doesn’t arrive in time, or doesn’t work, the Consumer Rights Act 2015 gives you a full refund — we say so here so you know where you stand, not as a feature of this hire. Beyond what the law requires: if one part of the kit fails, say one camera out of five, we refund that camera rather than asking you to make a claim about the whole booking.

7. Your photos & footage

Everything your guests capture is yours. We store your private online gallery for 12 months from the day it goes live, then delete it — download anything you’d like to keep before then, and tell us if you need longer. We won’t share or publish your images, or anyone in them, without your permission.
